Women's Coastal Reset Terms & Conditions
By booking your place at Women's Coastal Reset (the "Retreat"), you (the "Participant") agree to the following Terms and Conditions.
1. Participation and Health Responsibility
1.1 Voluntary Participation: You acknowledge that your participation in all activities during the Retreat is entirely voluntary.
1.2 Personal Responsibility: You agree to take full responsibility for your own physical, mental, and emotional health and wellbeing before, during, and after the Retreat.
1.3 Nature of Activities: You understand that Retreat activities may be physical, emotional, and/or therapeutic in nature. It is your responsibility to monitor your own limits.
1.4 Health Disclosure: You agree to inform the Organiser of any pre-existing medical conditions, injuries, or mental health concerns prior to the Retreat.
1.5 Updates to Health: You confirm that you will inform the Organiser immediately of any changes to your health or medical status that occur between the time of booking and the start of the Retreat.
2. Liability Waiver and Scope of Responsibility
2.1 Waiver: To the maximum extent permitted under New Zealand law, you release Women's Coastal Reset, its facilitators, and staff from any and all liability for personal injury, loss, or damage to personal property sustained during the Retreat.
2.2 Circumstances Outside Control: You agree not to hold the Organiser liable for circumstances beyond their reasonable control, including but not limited to weather conditions, travel disruptions, or third-party service failures.
2.3 Insurance: It is strongly recommended that all Participants hold comprehensive travel and health insurance to cover unforeseen cancellations, medical emergencies, or loss of property.
3. Conduct and Safety
3.1 Guidelines: You agree to follow all safety guidelines and instructions provided by the facilitators during the Retreat.
3.2 Respectful Behaviour: You commit to behaving respectfully and kindly toward all other participants and facilitators.
3.3 Confidentiality: To create a safe space, you agree to maintain strict confidentiality regarding the personal experiences and stories shared by other participants during the Retreat.
3.4 Removal Policy: The Organiser reserves the right to require a Participant to leave the Retreat immediately, without a refund, if their behaviour is deemed disruptive, unsafe, or in breach of these terms.
4. Booking and Payment Terms
4.1 Securing Your Spot: A booking is not confirmed or secured until the required deposit (or full payment) has been received.
4.2 Payment Schedule:
Deposit: A non-refundable deposit of $500 is required at the time of booking.
Balance: The remaining balance must be paid in full by 14 days prior to the Retreat start date.
4.3 Payment Plans: If a payment plan has been agreed upon, failure to meet a payment deadline may result in the forfeiture of your spot and deposit.
5. Cancellation and Refund Policy
5.1 Participant Cancellation:
Cancellations made more than 60 days before the start date: Full refund minus the non-refundable deposit.
Cancellations made between 30 and 60 days: 50% refund of the total price.
Cancellations made less than 30 days before the start date: No refund will be provided.
5.2 Early Departure: If you choose to leave the Retreat early for any reason, no refund or credit will be issued for the unused portion of the Retreat.
5.3 Organiser Cancellation: If the Retreat is cancelled by the Organiser for internal reasons, you will receive a full refund of all monies paid.
5.4 Rescheduling: If the Retreat is rescheduled, your booking will be automatically transferred to the new dates. If you cannot make the new dates, a refund (minus any non-recoverable third-party costs) will be provided.
6. Force Majeure
6.1 The Organiser shall not be liable for any failure to perform its obligations where such failure results from "Force Majeure" (events outside our control, including but not limited to natural disasters, pandemics, government-imposed restrictions, or "Acts of God"). In such cases, the Organiser will offer a credit toward a future retreat where possible, rather than a cash refund.
7. Dietary Needs and Allergies
7.1 Advance Notice: You must inform the Organiser of any specific dietary requirements or severe allergies at least 14 days before the Retreat.
7.2 Allergen-Free Environment: While we will do our absolute best to accommodate your needs and communicate with caterers, we cannot 100% guarantee an environment free of cross-contamination or specific allergens.
8. Media and Marketing
8.1 Photos and Video: You agree that the Organiser may take photographs or videos during the Retreat for use in future marketing materials (website, social media, brochures).
8.2 Opt-Out: If you do not wish to be photographed or filmed, you must notify the Organiser in writing prior to the commencement of the Retreat.
9. Travel and Logistics
9.1 Travel Responsibility: Unless explicitly stated otherwise in the Retreat package, you are solely responsible for your own travel to and from the Retreat location.
9.2 Accuracy of Information: You confirm that all information provided in your booking form is true and accurate.
10. Acknowledgement
By completing your booking and making payment, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions.
